Product presentation

AccessPhoto makes possible to manage photographs and any kinds of documents.
You can search by topic, description, keyword, subject, date etc.
Several display modes for viewing your images or photographs.

AccessPhoto deals with the genealogy, the identity of a person, list of the birthdays, etc..

AccessPhoto use the relative path in order to define a file,
so you will be able to move your files anywhere on you disk easily
or on another media CD-ROOM for example.

What to know before starting

1) First, define the folder where are located you files or
    images in the field: Master photo directory
    (configuration panel of the research screen)
    indicate C:\My pictures for exemple.

2) In order to write a description on a file, click on the + sign
    (explorer panel in the research screen)
     reach the folder of your files and click on a file in the right panel.
     Write information In the database photo definition screen.

Understand that you can install AccessPhoto many times you want.
So you can have a database in order to manage your www links,
another for your images and another for all other types of documents.

Hints to easily transport your files or images on another media

Here simple steps to follow in order to define an environment suitable for displacement:

  1. Create a repertory example  : C:\PHOTO, Under this same repertory can exist
    a tree structure example C:\PHOTO\ARTISTIC etc. place your photographs there.
  2. Go in the control panel of the search screen and indicate
    C:\PHOTO in the field [access photo path].
  3. You are now ready to associate text with your photographs after click on
    [definition of photographs at the database] located under the menu of the display screen.
    Note that when you start to type text in one of the fields of the
    data entry screen, you will see automatically appearing the repertory and the file name.
    If you see [ %Apath%\Artistic ] it is that the preceding steps have been respected.
    [ %Apath% ] is the substitution for C:\PHOTO (the path that you have affected at step 2),
    this path is relative and will be able to vary according to your future destination. It could change
    for E:\PHOTO, D:\HAMES\PHOTO for example.
  4. After having associate text, let us suppose now that we decide
    to move the photographs towards D:\MULTIMEDIA\PHOTO instead of leaving them in
    C:\PHOTO, should then carry out step 2 by replacing C:\PHOTO by
    D :\MULTIMEDIA\PHOTO. In this way you can burn a CD-R containing
    your photographs and make point towards to this reader. If you move on the network , or another
    place it is the same procedure to be followed.

Notes: You can edit directly the database ACCESS
with Microsoft Access version 97 and later version.
In the case for example that you would have assigned a bad path at step 2.

Example 1: (Excluding some persons)

   (MARTIN DUVAL, MICHEL LAMBERT ) or LUC LEBEAUX
without
    MARC LEGAULT or RAYMOND LEBLOND

    I.e.: all photographs incluing Martin Duval and Michel Lambert or all images of
           Luc Lebeaux, excluding in the same time all those from Marc Legault or
           Raymond Leblond

Example 2: (Uppercases and lowercases are ignored)

NOTES:

Search is carried out through the topic, the title, description, the additional reference
and as well as the FILE NAME.

The images are sorted according to: Year, month, day, topic, sequence, title
in ascending order or descending order.

Definition of photographs at the database, tricks and easy ways

Do not hesitate to employ any kind of references, the references do not appear
during the visualization of your photographs but are useful to carry out
more refined search.

  1. For example if you have a number of photographs Black and White,
    then indicate in the reference B & W.
  2. One sees you on a photograph beside your car, then indicate Car, Honda, Automobile etc.
  3. You find the photograph very beautiful, indicate Higher Quality.
  4. You decide that this photograph will be used as an identification card for that person,
    indicate Identification, at the time to carry out a search you will type then
    Nancy and Identification and will see appearing only one photograph with the
    total description of the person, her birthplace, the allergies, etc.
  5. The photo was taken in a studio of photography, indicate Studio nursery, Studio Sears.
  6. You see an animal, indicate Cat, Dog, Bird.
  7. You see a suite, to indicate Bedroom, Drawing-room, Kitchen.
  8. Detail what you see, Pool, Limousine, Landscape.
  9. Describe a situation, Humour, Drame
  10. An improved photograph, indicate Special Effect.

Ask you questions : Where, When, How, What I see!
It's only to you to indicate references allowing you
to better manage your photographs, good pleasure.

It is wise to define a place, especially if you have several photographs for a specific
day, when you carry out your search the places
will not be scattered. You can define by example
(3526 Baudelaire - Swimming pool) you will be able thereafter to raise all
photographs concerning your residence by typing only 3526.

In order to remove a topic press the button identified [ X ].
Only the topic of the list will be removed. The topic pertaining to the photograph will remain.
To modify a topic you will have to remove it and recreate another.

If you wish to rename a topic and make so that it is modified on each
photographs you will have to edit the database with Microsoft Access and
rename it from the menu options. The second possibility is to create the new one
topic and apply it on each photograph in a manual way.

This button makes possible to remove the link associate to a photograph, only the text which is
associated with the photograph, know that this button will not remove in any way the photograph.

The way of using the sequencer

The sequencer is useful if you envisage to affect a sequence on a regrouping
photographs. You have for example several photographs of marriage according to a same day
and thus decide to apply a specific order to display it, since the date
will be identical for each photograph. Here steps to be followed  :

  • You will note that under each photograph exist a number starting from 10
    and by increment of 10 continuous until the end of selection.
    This sequence will be preserved on the indentification card of the photograph if you decide
    to push on the button [Apply the sequence].
  •          

    Note  : The sequence is specific to the card that identity the photograph, it exists once
    for each photograph, this sequence can be also modified
    directly under the screen [Database photo definition].

    Produce a print list

              Maintain the key < Shift > inserted during the opening of the model modrep1.doc by exemple, this will not activate the macro. 
              Answer with < Activate macro > if a message invites you.

              Modify the colors, borders... then save. 
              Suggestion to make a copy of the file as a preliminary before any change.

    Use of a preferred external viewer

    A viewer is a software with which you can visualize your photographs
    in various forms, that it is in the form of miniatures or real size,
    you can make ravel these photographs and achieve various specific functions.

    When you use a viewer, you reach a repertory and be able
    to see the contents displayed at your screen.

    AccessPhoto is able to establish a certain communication towards
    these various viewers which exist on the market.

    AccessPhoto on a easy way to understand sends the result of your search to these
    various viewers in respecting the order also.
    Your preferred viewer will display the photos found by
    AccessPhoto in the shape of miniature or other.

    After having entered a word, a topic, etc, and have carried out a search, AccessPhoto
    will open automatically your external viewer and you will have feeling
    that the viewer is an integral part of AccessPhoto.

    AccessPhoto can function with all these
    viewers which exist on the market,

    The process is simple, an exchange repertory must exist on the station,
    short cuts are created in this repertory,
    the short cuts represent the result of search and are numbered
    in order to respect the order found by AccessPhoto.

    The viewer has just to be pointed on this repertory and you are in business,
    you are able to visualize the photographs.

    Under Windows 95,98,2000 and Windows NT when you work with a short cut,
    it's like if you work on the original file, a short cut represent in
    reality a pointer towards the original file and occupies a negligible space.

    Note when you want to use Acdsee  : After having carried out a search,
    Acdsee will present only one photograph at the screen, type key < ENTER >
    and you will see appearing the images in the form of miniatures.

    Here steps to follow to use a preferred viewer  :

  • Now when you carry out a search, you see that under the repertory
    (AP_Raccourci) elements are inserted representing the result of search.
    You will have to perhaps redirect the viewer in order that it will
    points itself towards this AP_Raccourci repertory, but in majority of cases,
    for the majority of the viewers you will not have to do it.
  • This exchange repertory is constrained to exist on unit C :

    You can remove the short cuts in any time as good seems to you,
    but be aware that the software has the responsability to empty and recreate according to the need any way.

    Use of a favorite image editor

    Five programmables buttons allow you to associate a favorite image editor
    of your choice. These buttons allow you to open the current photograph
    with the editor of your choice. This facility is accessible in any time,
    in display mode, when you use the sequencer
    or when you are on the browser of files.

    To define the buttons you just have to reach the search screen
    under the [configuration] panel, find your favorite editor with the button or
    by typing the complete path with the program name
    then press the button [Apply].

    Compatible with the majority of the editors of photograph having been
    built in order to respect the standards.

    Note  : If the icon of your editor does not appear in the display screen
    it's probably that the path is badly defined.

    About the confidential display

    Some times, it may be that when you carry out a search that you
    will want that certain photographs will not be shown among the batch. For example,
    you are naked on a photograph and do not want that this picture be displays at the screen
    when you made a search on your name. By default confidential photographs
    are not displayed, if you want to display all kind of photos you will have
    to reach the search screen under [configuration] panel and notch
    the box [Allow confidential display].

    Insofar as you want to indicate that a photograph is a confidential type,
    you will have to also notch [Confidential display]
    at screen [Database photo Definition].

    About the language

    This software supports at present two languages, English and French, you can
    switch mode any time, even during the run,
    since the software is multi-task.

    To define the language of your choice please reach the search screen under
    [ configuration ] panel, select the language then press the button [ Apply ].

    Take note that you can redefine the language as good seems to you,
    by reaching directly the database you are able to modify the wording,
    the menus etc, even the errors messages can be retranslated in the language
    that you want (According to the character set supported).

    About the Database

    The version of the database delivered with AccessPhoto is Access 97
    nevertheless, if you have Access 2000 or Access XP, AccessPhoto 
    supports these versions. So you can then convert the database as good 
    seems to you. AccessPhoto also supports data importation coming from 2000/XP 
    even if you have only Access 97 installed. 

    Converting the database to your version of Access will give you the ability 
    to personalize the database, adding forms, tables, queries ... 
    and manage yourself your database. 

    The database is composed of the following tables  :

    Configuration  :

    Contains the elements which are backed up when you leave the software,
    example  : the mode Normal/Full Screen, One by one/Display two photos, also different elements
    proper to the configuration of the software.

    Libelle :

    Contains the wording, the names of buttons, the names in the menus.
    according to the English or French language.

    Messages  :

    Contains the errors messages or informative which can occur
    during the use of the software, these messages are definite English or French.

    Photo  :

    Contains the identification card of your photographs.

    PhotoGrp  :

    Contains the list of topics which appear on the drop-down list.

     

    You can edit directly the database ACCESS with
    Microsoft Access version 97 and later version.

    The database must be found in the same repertory or
    sub-directory that the AccessPhoto.exe program.

    Please note that when you modify the database directly, you must leave the software,
    if you do not do that, you will perhaps not be able to modify the information being given
    that certain records could be locked (in progress).

    To drag and drop files on the target or on the icons

    To insert files directly in the database, DRAG and DROP the file from windows
    explorer to the target.

    - Internet references(www) are supported
    - E-mail Address coming from address book are supported
    - The images files can be drop in the same way
    - All types of documents are supported

    Icons representing <Web <Mail> <Doc 1 to 3> <Audio> <Video>
    will be define automatically dependently of the file type.

    You can insert several files massively at the same time,
    however, if you want to massively inform a description for each file or image
    I suggest proceeding by the replication.

    To reference an image coming from the Internet
    you must proceed like this:
     
      - Go over the image with the mouse
      - Click on the right button of the mouse
      - Click the option properties
      - *Select and Move the URL to the target
     
        *To select it is necessary to maintain the left button
         of the mouse from the first character of the URL until
         the end of the string.

    You can directly drag and drop a file on one of the following icons :
    <Web <Mail> <Doc 1 to 3> <Audio> <Video>
    when the filling-card is already existing.
